Distribution Services is a sub-unit of Strategic Business Services (SBS) responsible for mail, parcel, and freight service to the campus community. The Warehouse Worker works within Distribution Services which aims to achieve customer satisfaction and employee excellence by providing administrative and support services for the University and SBS community through responsiveness, collaboration, communication, professionalism, high quality service, and integrity.
Under general supervision, the Warehouse Worker performs work involving the receipt, checking, storage, inventory, issue, and delivery of materials, equipment, and supplies; uses powered or non-powered materials handling equipment and delivery trucks; and prepares and/or files forms associated with receipt and delivery of goods. The position performs cashiering functions and serves as a Notary Public. This position performs work in various areas within Distribution Services including Canyon Post, state receiving warehouse, and mail services.
The following examples illustrate typical work activities and are not meant to be all inclusive or restrictive:
Receive, sort, process, and distribute on-campus student resident mail, including:
Receive, sort, process, and distribute on-campus student resident parcels.
Generate daily reports and documentation of mail and parcel activity, assist customers with self-ship kiosk operations.
Maintain and stock shipping kiosk.
Provide shipping using World Ship.
Assist customers with questions pertaining to residence hall mail and parcels.
Maintain and update the Canyon Post lobby bulletin board.
Maintain and update A2B TrackPad, including creating and updating student resident lists using RMS and Excel, creating and updating resident mailbox assignments using Excel, and checking RMS for new or moving residents.
Provide customer service including answering phones, answering emails, and providing walk-in customer support.
Maintain supplies including shipping boxes and envelopes, stamps and stamp inventory lists, packing goods and tools, promotional items, and informational fliers.
Cashier functions through CashNet, including sales of stamps and shipping supplies, notary service charges, review and reconciliation of receipts, updating item prices in CashNet with the CashNet administrator, and creating daily cashier reports and deposit slips.
Provide Public Notary services.
Provide support for the state receiving warehouse, including:
Receiving incoming truck and parcel goods shipments or picking up shipments at vendor facilities or common carrier terminals.
Unload and/or unpack a wide variety of incoming material including office supplies, furniture, biological products, agricultural supplies, building materials, and industrial and mechanical equipment.
Employ special handling techniques when required for transport of fragile, toxic, inflammable, radioactive, or short shelf life goods.
Check incoming material against invoices or bills of lading to verify correctness, condition, and quantity of items received and correct any problems that may arise.
Prepare items for delivery by palletizing, banding, labeling, or assembling with hand tools.
Stock and maintain the warehouse and storage area.
Perform duties pertaining to state purchase orders, including receipt of purchase orders in PeopleSoft.
Research delivery locations for items on purchase orders.
Answer and process email requests for purchase order receipts.
Inspection of deliveries to verify packing slip amounts against purchase order amounts.
Must be able to work Monday-Friday from 11:30AM - 8:00PM.
Minimum Qualifications (Staff Only):
EDUCATION AND EXPERIENCE: One year of experience assisting in the receipt, storage, or issuance of materials from a centralized stockroom or warehouse, including some experience in the operation of fork lift trucks or similar power operated materials handling equipment.
LICENSES, CERTIFICATES, DEGREES, CREDENTIALS: Possession of (or ability to obtain by date of hire) a valid Class C, California Driver's License.
Demonstrated customer service experience requiring a very high level of diplomacy and professionalism.
Ability to utilize a wide variety of powered and non-powered materials handling equipment (e.g., hand trucks, power forklift, large trucks, Johnson bars, desk movers, dollies, carts, power lift gates, etc.) to load and unload trucks or other common carriers and to transport goods to specified areas.
Working knowledge of methods, practices, and equipment used in receiving, storing, packing, and shipping materials and supplies.
Ability to operate and maintain powered materials handling equipment. Ability to safely and effectively use equipment pertaining to warehouse operations, including but not limited to dollies, forklifts, and pallet jacks.
Ability to apply safe methods of moving heavy supplies and equipment and perform manual labor.
General knowledge of methods of taking inventories and maintaining inventory records.
Ability to match names and numbers quickly and accurately.
Demonstrated ability to keep simple records and make simple reports.
Ability to read and write at a level appropriate for the duties of the position.
Ability to make simple arithmetic computations.
Excellent communication skills; ability to follow instructions and effectively communicate information in a clear and understandable manner, both verbally and in writing.
Ability to observe safety requirements and safe work practices and methods as required.
Ability to operate, or quickly learn, personal data assistants (PDAs) or other electronic equipment to enter and retrieve information.
Ability to initiate, establish and foster communication and teamwork by maintaining a positive, cooperative, productive work atmosphere in and outside the university with the ability to establish and maintain effective working relationships within a diverse population and with those from various cultural backgrounds.
Ability to establish and maintain cooperative communications and working relationships with staff, students, and the public.
Ability to interpret, communicate and apply policies and procedures.
Demonstrated ability to maintain a high degree of confidentiality.
Thorough knowledge of English grammar, spelling and punctuation.
Excellent organizational skills and the ability to work with interruptions.
Ability to operate basic computer software pertaining to warehouse operations, including but not limited to Excel, Word, email, Internet Explorer, and other database systems for mail processing. Ability to operate basic office electronic equipment, computers and most basic computer components including but not limited to keyboards, mouses, faxes, copy machines, and phones.
Ability to monitor and plan the work of others to ensure safety.
Ability to teach and apply safe methods of moving heavy supplies and equipment.
Ability to identify obvious damage to equipment and materials through visual inspection.
Working knowledge of or the ability to quickly learn University infrastructure, policies and procedures.
One year of experience with cashiering operations including the handling of money and reconciliation of receipts.
Basic knowledge of university grounds including preferred delivery routes, delivery locations, and high impact pedestrian areas. One year of forklift experience.

Must be able to work Monday-Friday from 11:30AM - 8:00PM.
Ability to stand or sit for extended periods of time.
Ability to perform work involving regular physical activity including the ability to reach, carry, lift, push, stoop, kneel, twist, and balance objects weighing up to 75 lbs.
Must be able to obtain Cal Poly Defensive and Risk Management Forklift Training Operation Class permit upon employment.
Must be able to obtain Public Notary commission and be able to legally provide Public Notary services within one year of employment.
Must be willing to travel and attend training programs off-site for occasional professional development.
Must be able to work overtime, occasional holidays, occasional Saturdays, and adjust working hours to meet special jobs. May be called back periodically to perform work as needed on an emergency basis.
Must be able to safely operate a vehicle with a manual (standard) transmission.
