The Admissions Operations Manager of the Medill Office of Graduate Admissions and Financial Aid reports to the Director of Graduate Admissions and Financial Aid and manages the prospective and admitted student admissions application and enrollment management CRM System (Hobsons, AY, and Connect). This position serves as a key technical member on the team for recruiting strong candidates to Medill’s graduate programs through the management of prospective, applicant, admitted and enrollment management data using our CRM system and SES. The Manager will participate in admissions activities related to recruitment and outreach, marketing communications, reporting, admissions application management, evaluative admissions interviews, application evaluation, program planning, basic financial aid support and other duties as assigned by the Director. The Admissions Operations Manager collaborates with school-wide leadership responsible for helping to achieve the school's admissions and enrollment goals as determined by the Dean, Associate Dean and Director.
Please note:Occasionally able to travel domestically and abroad; some evening and weekend work required. Able to carry and move boxes of admissions materials weighing up to 50 pounds.
Reporting and Analysis:
Provides weekly, monthly, quarterly and annual prospect, applicant, admitted and enrolled data reporting in collaboration with the Director, analyzes data to identify key target markets for recruiting and marketing to prospective students.
Admissions Systems Management:
Serves as primary technical resource in managing Medill’s admissions and CRM systems; including but not limited to Apply Yourself, and Hobson’s Connect, Handshake and SES.
Provides technical assistance for systems and troubleshoots system problems when needed.
Responsible for reviewing and processing admissions application materials and data and inputting that data into our CRM system or SES as needed throughout the admissions process.
Responsible for managing annual updates to admissions application and instructions for all graduate programs.
Communications and Collaboration:
Manages standard messaging process to applicants and admitted students regarding updates and reminders related to the application cycle.
Assists in the crafting and disseminating of admissions-related messages across various social media platforms and Canvas groups.
Responds to prospect and applicant inquiries regarding application requirements, admission standards and graduate curricula.
Collaborates with colleagues across the school to help advance Medill’s strategic goals and improve the educational experience of our students.
Partners with Assistant Directors in the coordination of viable and effective recruiting activities to engage prospective students, generate new prospect leads, and meet the recruitment and enrollment goals as set forth by the Director and Dean.
Assists team members in the coordination and logistics of information sessions, campus visits, office hours and other events for prospective and admitted students and conduct evaluative applicant interviews.
Admissions and Financial Aid Support:
As needed, assists with the review and evaluation of completed application files and makes admission and merit-based scholarship recommendations.
Based on Associate Director guidance, applies current federal and internal financial aid information standards to application deadlines and established processes.
Performs other duties as assigned.
Bachelor’s degree or equivalent combination of education, training and experience from which comparable skills can be acquired is required for this position.
1-3 years of previous work experience in admissions or student affairs, or related experience in recruiting and interviewing candidates, planning recruiting events and managing marketing.
Minimum Competencies: (Skills, knowledge, and abilities.)
Previous experience working with the CRM system Connect/AY/Hobsons, now called Anthology.
Comfortable speaking and presenting to large groups and virtually.
