Provide organizational support for the development team supporting the School of Medicine, School of Nursing, and the Basic Sciences; manage daily office operations; assist in event planning and annual giving programs; handle budgetary and personnel activities; respond to donor needs in consultation with the Associate Dean and other staff.
The Department of Development and Alumni Relations (DAR) assists Vanderbilt University in securing the resources, both human and financial, that are required to achieve its mission and goals. The Department is responsible for the identification, cultivation, solicitation and stewardship of individuals and organizations whose charitable objectives are consistent with those of Vanderbilt University's teaching and research programs.
Duties and Responsibilities
Compile data, monitor office budget and maintain current/accurate records
Research, resolve and justify any budgetary discrepancies
Prioritize multiple projects based on deadlines
Conduct research assignments on prospects to include Advance profiles; summarize findings
Assist with events, communication efforts, and stewardship activities
Send class notes to the assistant to the Dean in order for alumni to receive congratulations, condolences, etc.
Assist with proofing documents.
Provide support for the organization of board meetings and meeting minutes
Assist with production and implementation of annual giving program
Provide administrative support to development and alumni relations staff members
Assist with travel planning and scheduling appointments as needed
Compile travel packets for each development officer consisting of itinerary, reports and necessary paperwork
Provide customer service to prospects, donors, faculty, and staff
Process expense requests for development and alumni relations staff
Maintain detailed working knowledge of Microsoft Office applications
Assist with some logistics for the planning of events.
Maintain office files
Handle data entry as directed and file contact reports
Record and submit all checks/cash received
Keep track of all bio updates (including all returned mail, alumni updates, and updates found by DAR staff in addition to board rosters and biographies)
Receive all incoming calls and handle various inquiries.
Perform other duties as assigned
This position does not have supervisory responsibility; this position reports administratively and functionally to the Associate Dean of Development.
High school graduate and one year of relevant experience, or the equivalent, is necessary
Bachelor's degree is preferred
Advanced proficiency with Microsoft Word, Excel, Outlook and PowerPoint
Prefer one or more years of administrative experience
Strong interpersonal and phone skills
Ability to perform and manage multiple projects on a regular basis
Effective oral and written communications skills
Strong time management and organizational skills
Ability to work independently and as part of a team
Some evening/weekend work as needed
