Berkeley Regional Services (BRS) is comprised of six (6) Regions which provide services to specific 'groupings/clusters' of schools, colleges, and organized research units (5 academic, 1 all other). This regional approach to providing administrative services is intended to improve service quality by re-establishing personal connections and to develop more local expertise.
Chemistry and Mathematical and Physical Sciences (ChaMPS) is a service region within Berkeley Regional Services, within the division of Vice Chancellor for Administration, providing reliable, high-quality integrative administrative support to faculty, academics, staff, student employees, and retirees in support of the UC Berkeley mission of teaching, research, and public service.
Chemistry and Mathematical and Physical Sciences (ChaMPS) within the Berkeley Regional Services. ChaMPS provides a wide range of reliable, high-quality administrative support services for the University of California, Berkeley in the areas of Research Administration, Purchasing and Reimbursement, Human Resources & Academic Personnel Support, and Information Technology (IT).

The Research Administration function within ChaMPS will provide department level service during the contracts and grants life cycle to UC Berkeley's Principle Investigators (PI) and Principle Directors (PD). By streamlining services in areas such as human resources, purchasing, and grants administration, ChaMPS will help PIs and PDs navigate the campus administrative processes and focus on the research that comprises a large part of the UC Berkeley mission. ChaMPS will provide department level pre-award and post-award support services to all research professionals on campus, in close collaboration with the Sponsored Projects Office, Industry Alliances Office, Contracts & Grants Accounting, and other central compliance groups.
The Research Administrator 3 position within ChaMPS involves providing analytical and financial support in contract and grant administration, and budget development, including, management of funds post-award, and closeout activities for federal, state, local and private sponsors. This work will involve activities associated with forecasting, planning, and managing of research portfolios by performing some or all of the following: administering and monitoring contract and grant awards, including compliance with regulations, terms and conditions; financial management and reporting; analyzing financial data; and sub award/subcontract administration.
The Research Administrator 3 will report to and receive assignments from the Contracts and Grants Supervisor 2. The incumbent will work with the supervisor to ensure a balanced workload. The incumbent will mentor employees at the Research Administrator 2 level to help them gain a better understanding of research administration in a university setting and within ChaMPS.
Under limited supervision, provides post-award financial administration and management for research funds in accordance with campus policy and agency requirements. Monitors and administers post-award sub-recipient. Conducts financial analysis and projections.
Monitors and ensures allowability for financial transactions, expenditures, reconciles funds, identifies and resolves discrepancies and retains all necessary back up documentation. Tracks and ensures compliance with cost sharing commitments.
Under limited supervision, organizes plans, establishes and monitors fiscal budget control of contracts and grants administration, gifts, endowments and privately funded projects for faculty research programs. May facilitate PI interactions with ChaMPS HR and ChaMPS Purchasing and Reimbursement.
Prepares all close-out activities including: final projection, subcontracts, personnel and recurring expenses.
Under limited supervision, may be required to oversee the pre-award process from preparing submission through submission to the Sponsored Projects Office. Serves as primary faculty liaison, assists PI with the development of contract and grant proposals. Prepares proposal budgets and support documents that are required by proposal guidelines. Coordinates proposal submission with Sponsored Projects Office.
Assists in support of audits as directed by senior staff.
Participates in training/educational sessions designed to increase knowledge of professional research administration concepts and practices, and CSS, University, and/or funding agency processes and policies.
Requires independent judgment and strong organization and communication skills and customer service focus.
Demonstrated knowledge of generally accepted accounting, fiscal and reporting principles.
Demonstrated ability to analyze and interpret data. Demonstrated ability to interpret and apply guidelines and policies.
Proficiency working with computer and information management systems. Ability to perform moderately complex financial analysis and customized reporting.
Ability to establish and maintain productive working relationships and partner with other departments in the campus community.
Excellent initiative, organization skills, attention to detail and accuracy.
Ability to participate and contribute as a member of a team in support of unit goals and objectives.
Demonstrated competence in the use of spreadsheet and database software in financial analysis, fiscal management and financial reports.
Maintains current knowledge of compliance regulations in all areas of research administration.
Requires thorough understanding of research administration guidelines of Federal and non-Federal sponsors supporting research and educational activities, preferably in a university environment.
Knowledgeable in applicable compliance requirements related to use of human or animal subjects in research, financial conflict of interest, biosafety, et cetera.
Ability to translate technical/scientific concepts into a fundable proposal
Bachelor's degree in related area and/or equivalent experience/training.
Demonstrated experience in working with student funding, human resources/payroll, contracts and grants, or equivalent related experience
Salary & Benefits
This is an exempt, monthly paid position. Annual salary is commensurate with experience within the range of $70,000 - $76,000.00.
