Job Summary:
- To provide advanced professional level skills and abilities in the development, coordination, and administration of event services for University Center Operations to various on-campus and/or off-campus groups.
- Supervision of professional staff (Administrative Assistant Conference Coordinator) and oversight of front desk reception area. Responsible for coordinating and executing UC Advance Planning initiatives and working with Special Events in a personable one-on-one manner to ensure success of decanal, presidential, or administrative level events.
Essential Duties:
- Supervise Professional Staff (Administrative Assistant Conference Coordinator, who will interview, hire, and train UC front desk receptionists. Ensure professional development of staff.
- Meet with Departments to provide assistance in conference, meeting, or special event coordination.
- Utilize Social Tables software to create renderings for some events. Meet with Special Events department in Development to ensure the highest level of support for executive and/or presidential level events.
- Meeting with External Clientele to provide assistance in conference, meeting, or special event coordination.
- Assign resources to UC team members to assist. Input data into Event Management Software (EMS) to track meetings and events.
- This entails the most appropriate room placement, assigning resources, and communicating with the client concerning their assignments.
- Monitor the database to ensure proper information is kept up to date and accurate.
- Assist with EMS software to include but not limited to facility configuration, user configuration, reporting, inventory tracking, personnel tracking, and the occasional onboarding and training of other UTA departments.
- Create communication to inform campus community, assemble, administer and run the Advance Planning (Cosmic) Calendar process for the University Center and The Commons.
- Performs other duties as assigned.
Required Qualifications:
- Bachelor's degree in Higher Education, Business Administration, Hospitality Management, or a related field.
- Three (3) years coordinating and/or facilitating conferences and/or special events or the equivalent experience. Strong writing and verbal communication skills.
Preferred Qualifications:
- Master's degree in Higher Education, Business Administration, Hospitality Management, or related field.
- Five plus (5+) years of professional experience coordinating and/or facilitating conferences and/or special events in a university or educational setting working in or with a student union facility. Previous experience working with Event Management Software (EMS), and teaching staff how to use it. One (1) year of supervisory experience.
