Position Summary
Reporting to the Director of Administration and Finance. The incumbent will assist and liaison with individual staff members on all matters concerning student hires, academic appointments and personnel, facilities and programmatic initiatives and special events of the Institute for Social and Economic Research and Policy.

Responsibilities
The incumbent will assist the Administrative Manager with processing Student Casual, Departmental Research Assistant, Teaching Assistant, Associate and Adjunct appointments in ISERP, including all associated visa processing for new appointments. Assist with tracking hires throughout the employment process to confirm they advance through CU systems. Maintain a tracking sheet for all student hires and reconcile student salaries on a monthly basis. Hire and train Work Study positions, coordinate Work Study work assignments, and approve their hours. Update standard operating procedures for Work Study students. Send reminders to Student Casual employees to submit timesheets. Review timesheets for accuracy and supervisor approvals and process all timesheets for Casual employees on a biweekly basis.
The incumbent will work in concert with the Director of Administration and Finance on all tasks related to the ISERP Executive Committee, schedule meetings, communicate details and preparation of handouts, and coordinate food and refreshments. Assist Directors with the coordination of yearly Advisory Board meeting. Maintain calendar for Directors with ISERP events. Assist the Program Coordinator with organizing and managing conferences and event logistics. Coordinate with speakers and participants, liaise with vendors for all swag used for events and branding. Liaise with other University offices for event planning and execution. Events may require evening and occasional weekend hours. Maintain college walk box for advertising ISERP events and activities. Regularly review, edit and update information on the ISERP website. Prepare emails and web announcements for distribution to ISERP affiliates. Work with the Director of Administration and Finance to schedule biweekly staff meetings and staff events. Also work with the Administrative Manager on all team building activities for ISERP Staff.
The incumbent will maintain all office, conference, and storage space for the Institute, comprised of offices on IAB 5, 3 and 2, which also includes 24 carrels, 3 workstations, and 19 offices in total. Track occupants, coordinate access to the space via card key swipe and passcode access. Maintain furniture inventory, and weekly walk through of the space for review and upkeep. Liaise with the six social science departments on student space requests, Facilities, and IT for maintenance of the space. Schedule 270B conference room usage, including AV and other equipment set up. Communicate to all occupants any updates on repairs or concerns within the space. Maintain Department P-Card, order and maintain office supplies and reconcile purchases on the card. He/she will also reconcile phone and internet expenses.
The incumbent will perform additional duties as assigned.
Minimum Qualifications
High School diploma or its equivalent required. Three years of related experience required.
Preferred Qualifications
College degree preferred. Some experience in an academic environment preferred. Familiarity with PAC and Columbia system a plus.
Other Requirements
Strong organizational, written and verbal communication and interpersonal skills required. Proficiency in Microsoft Office suite and the use of technology.
Ability to work independently in a fast-paced environment.
