Departmental Overview
The Department of German offers language and literature classes in German, Dutch, and Yiddish, as well as breadth requirement courses (taught in English) on German philosophy, linguistics, political culture, and cinema. The department's degree options include an undergraduate major, a minor, and a Ph.D. Our renowned doctoral program is affiliated with the departments of Comparative Literature and Film and Media, the Program in Medieval Studies, and the Graduate Group in Critical Theory. The German undergraduate major program provides students with the knowledge, experience, language fluency, and analytical skills necessary to enter the academic world or the world of international law or global business.
The Department of Spanish and Portuguese at the University of California, Berkeley is a medium-sized one, big enough to offer a wide variety of approaches to teaching and research yet small enough to afford students at both the graduate and undergraduate level personal attention and mentoring. We offer an abundance of opportunities to learn and achieve mastery of the languages and cultures we study, which include Catalan, Nahuatl, Portuguese, Romance Studies, and Spanish. Our programs are specially designed for highly motivated students with a passion for other languages, literature, and cultures, for imaginative approaches to these, and for the careful crossing of traditionally defined geographic, linguistic and disciplinary borders.
The management of both departments is clustered into one administrative unit under the direction of the Administrative Manager 1 position. Under the oversight of the manager, the staff members provide support to faculty, lecturers, graduate and undergraduate students.

Responsibilities
Manages, plans and administers all administrative operations of two departments (German, Spanish and Portuguese).
Administrative services include all of the following functions:
- IT, facilities management, graduate and undergraduate student services, libraries, contracts and grants, budgetary financial management, and human resources, personnel and payroll services.
- Prepares short- and long-range planning for administrative services and operations and improvements to processes.
- Establishes and recommends change to policies which affect the department.
- Represents the department on business affairs to the institution community.
- Troubleshoots problems in consultation with staff, faculty, chairs and develops solutions to issues.
Financial Planning and Management:
- Develops and prepares budgets and financial reports for grants, general appropriations, endowments and other funds.
- Develops and monitors operational and budget processes, staff FTE, finance, human resources and space planning.
- Manages system and procedures to protect departmental assets.
- Monitors expenditures and prepare annual budget projections.
- Oversees all functions and insures compliance with University regulations and procedures and has final authorization on financial matters. Provides expertise to Dept.
- Chairs and offers creative suggestions to financial problems.
Facilities & Equipment Management:
- Plans for physical plant rehabilitation and renovation projects, including Faculty offices, two libraries, conference rooms, lounge and computing facilities.
- Coordinates moves and renovations, oversees installation of communications and network services.
- The Business Manager oversees equipment purchases and maintenance, equipment inventory audits.
- Communicates directly with venders on non-routine purchase, negotiates prices and establishes formal contracts when needed.
Personnel Administration:
- Develop strategies within the departments; determine staff needs and implements personnel actions.
- Insure employee development and training and reallocate resources as needed to meet the needs of the departments.
- Oversee major elements and procedures related to academic personnel (hiring/searches/merits/promotion cases).
- Provides oversight support to Academic Personnel Coordinator for outside units (Digital Humanities and NES).
- Coordinates the visiting scholar program (for faculty, researchers & students).
- Coordinates undergraduate student librarians.
- Analyzes and interprets personnel policies and union contracts. Supervision of 6 career staff employees.
Required Qualifications
- Broad knowledge of and/or ability to learn campus processes, protocols and procedures with a focus on budget, account and fund management; personnel management of labor contract(s) and personnel policy.
- Broad knowledge of financial analysis and reporting techniques; human resources and risk management planning; accounting and payroll.
- Broad knowledge of and/or ability to learn common campus-specific and other computer application programs.
- Proven ability to organize department work functions in an efficient and effective manner.
- Skills to work collaboratively with other campus locations.
- Demonstrated management and conflict resolution skills to effectively lead and motivate others.
- Proven skills to quickly evaluate complex issues and identify multiple options for resolution.
- Skills in organization and customer service to effectively manage multiple important priorities.
- Strong verbal and written communication skills; ability to influence/persuade all levels of staff.
- Bachelor's degree in related area and/or equivalent experience/training.
Salary & Benefits
This is a 100% full-time (40 hrs a week) exempt career position, which is paid monthly and eligible for full UC Benefits. Annual salary is commensurate with experience.
