Departmental Overview
At the Herbert Wertheim School of Optometry & Vision Science at the University of California, Berkeley, we have long lived by defining principles that guide us and differentiate us. Our O.D. program is a 4-year program with clinical training provided at 2 campus clinics, 10 satellite clinics (community care), 7 VA clinics, and 24 external clinics across the country. Our one-year post-graduate residency programs provide advanced clinical education in specialty areas of optometry to 18 residents with placement on and off campus, and our Vision Science program consists of 40 PhD students.

Responsibilities
The Office of Virtual Learning and Initiatives (OVLI) is responsible for developing and delivering asynchronous and synchronous with practical, evidence-based optometric continuing education to optometrists, faculty, alumni and business professionals to meet their professional goals. OVLI also oversees and manages technological support of school programs and events hosted on and off campus, including classroom support.
The Program Coordinator will manage and support the administrative and operational needs of OVLI with a focus on continuing education initiatives. Under the supervision of the OVLI Director and in collaboration with the Instructional Designer, the program coordinator will ensure that administrative and operational needs are met, especially for the online and in-person continuing education initiatives. This includes communicating with speakers and customers of the continuing education program, online and in-person event support for the program, data analytics and reporting, creating and reinforcing new workflow that will contribute to the team efficiency.
This position requires occasional work some evenings and weekends to participate in the live online and CE initiatives. Responsibilities include the following:
- Contributes to and participates in unit event planning (~40 events annually) relevant to synchronous and asynchronous online, in-person, and simulcast continuing education programs serving up to 400 in-person and 300 online attendees.
- Communicates with potential program speakers by sending out official invitations, processing honorarium requests, gathering teaching material and other paperwork relevant to the course accreditation process, and finally, helping with any logistic needs to accommodate the speaker.
- Gather and submit course accreditation paperwork to the Association of Regulatory Boards of Optometry.
- Sets up guest lists and surveys and applies them to the appropriate event platform (Zoom, Learning Management System, Aventri, Qualtrics).
- Collaborates with the program director and the instructional designer.
- During in-person and online events, ensures smooth-running, effective events, including successfully recognizing and resolving potential and real problems in a timely manner using tact, sensitivity, discretion, and political acumen.
- Reconciliates programs by creating reports for certification purposes serving an approximation of 200,000 CE hours per year.
- Submit post-activity reports & surveys to the Association of Regulatory Boards of Optometry.
- Creates and maintains a general database of speakers, content, and various key information about the lectures with names, locations, and topics of expertise.
- Gather CE committee feedback at the monthly meeting and update various databases appropriately.
- In collaboration with the program director and the instructional designer, contributes to the development, deployment, and troubleshooting of a new efficient and automated workflow that will facilitate the overall operation of the unit (smartsheet automation, service now implementation, other non-identified workflows).
- Serves as the front-facing person of the program, answering any general questions asked by our program audience whether it is online via the mailbox or via phone call.
- Triages and escalates when needed.
- Participates in the Continuing Education Committee and serves as a program resource, takes minutes.
- Mentors and supervises students employees, both graduate and undergraduate.
- Other duties assigned, in-person event support.
Required Qualifications
- 3 years of experience in an office environment & 2 years of program coordination experience.
- Solid communication and interpersonal skills to communicate effectively with all levels of staff verbally and in writing, strong customer service background.
- Solid skills in judgment, decision-making, problem-solving, and question communication.
- Ability to proofread, comb through, and the details of any given assignment.
- Must be able to work onsite and some weekends and evenings (will be communicated in advance).
- Expertise with MS Office products.
Education/Training:
- Bachelor's degree in a related area and/or equivalent experience/training.
Preferred Qualifications
- Experience using CRM and UC Berkeley Campus systems and/or the ability to learn quickly is a plus.

Under California law, the University of California, Berkeley is required to provide a reasonable estimate of the compensation range for this role and should not offer a salary outside of the range posted in this job announcement. This range takes into account the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, analysis of internal equity, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience.
The budgeted salary or hourly range that the University reasonably expects to pay for this position is $75,000 to $90,000.
The full salary range for this position classification is 67,000 to $119,200.
