Departmental Overview

One of the most distinguished departments of mathematics in the world, the Department of Mathematics is also one of the largest teaching departments within the College of Letters and Science. With approximately 55 ladder-rank faculty, 30 emeriti faculty, 30 visiting teaching faculty and special research visitors, 18 career staff, about 300 Graduate Student Instructors, 100 Readers,
and 5 Work Study employees, the department offers about 20,000 enrollments annually to graduate and undergraduate students.

Under the general supervision of the Assistant Director of Curriculum Management, the Scheduler and Enrollment Coordinator serves as the department's primary scheduler and manages enrollment for one of the largest teaching academic units on campus; oversees the textbook program, facilitates DSP accommodations and overall serves as an integral part of the Mathematics student services team.

Responsibilities

45% SCHEDULING AND COURSE SUPPORT:

Leads department academic scheduling and managing room assignments. Examples
include:
Undergraduate courses (including lectures and discussion sections) - Fall, Spring and Summer.
Graduate courses
Midterm exam room reservations
Final examinations
DSP accommodations for exams
Math 290 seminars
Putnam Competition
DeCal courses

Sets up special courses, incl. but not limited to MATH 49, MATH 98/198, MATH 99/199, MATH 196 and MATH 197.

Partners with Student Learning Center (SLC) to schedule adjunct courses in Fall, Spring, and Summer (Summer Bridge program).

In consultation with the Assistant Director of Curriculum Management, makes adjustments to class sizes and numbers of discussion sections.

Tracks teaching assignments, identifies gaps, and informs all stakeholders about problems and changes.

Devises solutions to classroom space and scheduling problems, taking into account the curriculum needs of students, the needs of faculty, and available options.

Makes room change requests as needed.

Manages instructors' access in SIS Campus Solutions, ensures their access to rosters and grading.

Monitors submission of grades and tracks incompletes.

Manages the data confirmation process for course evaluations.

Resolves CSIR Error Reports.

Supports the Department's supplemental DSP exam services.

Other functions related to scheduling and instructional support, as needed.

25% ENROLLMENT:

Manages enrollment functions, including but not limited to:
Tracks enrollment levels
Serves as the primary source of contact for enrollment support for instructors and students
Monitors and processes waiting lists
Negotiates course enrollment limits with instructors
Consults with instructor of graduate classes to clarify their expectations for undergraduate students who can participate in their classes; Sets up process to collect undergraduate applications for Mathematics graduate courses
Fields in-person, telephone and email inquiries. Responds to enrollment-related inquiries on EdStem
Manages concurrent enrollment applications, taking into account the space available in classrooms, course enrollment limits, and instructor feedback

5% STUDENT ADVISING:
Provide additional assistance and support to the Undergraduate and Graduate advising teams. Advising duties may include, but are not limited to, advising UC and non-UC students participating through departmental exchange programs, concurrent enrollment, and summer sessions.

5% TEXTBOOK MANAGEMENT:

Serves as primary department contact for publishers.

Coordinates desk copy distribution and collection.

Collaborates with the Curriculum Committee on textbook selection.

Maintains textbook library - distributes textbooks to GSI and collects them at the end of the semester.

Submits semesterly course reserves.

Other textbook-related functions, as needed.

5% COMMUNICATION:

In consultation with Assistant Director of Curriculum Management, communicates to instructors and students. Examples include:
Enrollment deadline reminders
Course promotions
Course Changes
Grading deadlines

5% EVENTS:

Supports events that include commencement, student orientation, GSI orientation, new instructor orientation, visiting student program events, and others.

5% PROFESSIONAL DEVELOPMENT:

Maintains and updates working knowledge of curriculum planning, scheduling and student services advising by participating in campus organizations, networking with peers, and attending required training.

5% Other duties as assigned.

• Proficiency with MAC desktop applications for word processing and data management.
• Familiarity with Course Management System, Campus Solutions, and Cal Central.
• Thorough knowledge of department, organization, and University policies, procedures, and directives.
• Thorough knowledge of department and school / college general and major course and degree requirements.
• Knowledge of campus policies and procedures pertaining to undergraduate education, curriculum, confidentiality (FERPA) and related areas.

This range takes into account the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, analysis of internal equity, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience.

The budgeted salary or hourly range that the University reasonably expects to pay for this position is $75,000 - $85,000.
