Departmental Overview
Office of the Registrar (OR) supports every registered student, as well as all the faculty and staff who interact with them. We are committed to helping students discover an academic path that fulfills graduation requirements and that augments and enriches their education beyond the boundaries of their degree program. We are stewards of student data, and are responsible for maintaining the integrity of every academic record. We work with the schools, colleges and departments, and IT system groups to ensure adherence to policies, regulations and procedures as mandated by the UC Regents and the Faculty Academic Senate; accuracy of data; and to provide access and security for the curriculum, academic records and other data needed to fulfill Berkeley's academic teaching mission.

Responsibilities
- Applies professional or research concepts to perform analysis of data and systems pertaining to moderately complex projects, policies, initiatives, processes, and/or functions.
- Provides direct analytical support for project planning, implementation, monitoring, and evaluation of University Registrar projects and other functional areas of the unit as needed.
- Supports a variety of functions across the department, including serving as a liaison with partner offices.
- Demonstrating a high degree of judgment, tact, and diplomacy, serves as initial contact (phone, email, mail) for all inquiries to the University Registrar.
- Appropriately probes for additional information to assess the nature of inquiries and exercise judgment in delegating inquiries to appropriate staff or responding to inquiries independently.
- Provides general administrative support to Registrar and offices such as calendaring, supplies ordering, staff meeting agenda creation, and event planning.
- Prepares correspondence, reports, and communications, including confidential correspondence.
- Determines priorities and schedules as appropriate.
- Secures meeting locations and confirms appointments.
- Compiles agendas and prepares background materials or drafts briefings needed for meetings.
- Maintains office workflow and ensures smooth functioning of the office.
- Functions as a gatekeeper, understanding the requirements of the Registrar in order to prioritize issues according to urgency and to allocate time for scheduled events, travel, and meetings.
- Supports the Registrar in the travel and reimbursement process.
- Supervise student staff as needed.
- Gathers and assembles analytical and factual data on assigned problems and issues to prepare reports and/or analyses summarizing information on the assigned issues and commenting on other significance for internal or external constituents.
- Prepares ad-hoc reports and analysis in support of external data requests and other unit functions and programs, such as the curriculum management system project, external consultant review, etc.
- Prepares, edits, and modifies documents including departmental presentations, training tutorials, workflow charts, operations manuals, business process guides, etc.
- Using subject matter knowledge, collects and prepares information for use in discussions, and meetings of internal and external constituents.
- Establishes and maintains records of contacts internally and with external constituents for the collection and exchange of data.
- Serves as a liaison with partner offices.
- Participates in outreach to current students or the general public as needed.
- Provides a variety of analytical duties in support of Office of the Registrar operations.
- Analyzes student and department inquiries, determines relevant issues, and recommends solutions.
- Participates in administrative policy and program planning and development.
- Participates on standing department committees to raise issues, propose solutions, support implementation, and receive direction on practices and procedures. Committees examples could include the divisional DEIBJ initiative, A&E Connect, the Safety Committee, or departmental engagement.
- Other duties or projects as assigned.
- On a project basis, performs analytical studies on a variety of policies, research initiatives, programs, and issues.
- As business processes have changed or been added, this position reviews existing information (such as the departmental public website) or programs, researches benchmark with peer institutions, and provides recommendations and suggested guidelines for implementing initiatives.
- Professional Development: In order to enhance job expertise, owns their professional development (PD) plan.
- PD can include participation in training, such as attending classes, system-wide or campus training, project-specific assignments, or serving on departmental or campus-wide committees.
- Supervisor approval is required for any PD that takes place during work hours or requires university-paid expenses.
- Serves as notary for OR (training provided)
Required Qualifications
- Working knowledge of common organization- or research-specific and other computer application programs.
- Proficient in communication and interpersonal skills to communicate effectively, both verbally and in writing.
- Proficient in the ability to use discretion and maintain all confidentiality.
- Demonstrates ability to use sound judgment in responding to issues and concerns.
- Demonstrates ability to analyze, research, and synthesize large amounts of data with strong attention to detail.
- Proficient in the ability to multi-task with demanding timeframes.
- Active listening and critical thinking skills.
- Ability to work independently and problem-solve.
- Customer service orientation.
Education/Training:
- Bachelor's degree in related area and/or equivalent experience/training.
Preferred Qualifications
- Working knowledge of applicable policy analysis techniques.
- Familiarity with and/or ability to learn university registrar practices.
- Familiarity working with web-based applications, registration, and student information systems.
- Experience with meeting facilitation.
- Understanding of and/or ability to learn campus policies and procedures, including FERPA.
- Restorative justice experience OR commitment to building community, collaboration, connection, and DEIBJ environments.

Under California law, the University of California, Berkeley is required to provide a reasonable estimate of the compensation range for this role and should not offer a salary outside of the range posted in this job announcement. This range takes into account the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, analysis of internal equity, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience.
The budgeted hourly range that the University reasonably expects to pay for this position is $28.74- $40.42 with an expected offer in the mid $33.52/hour.
- This is a 100% full-time (40 hours per week), career position that is eligible for full UC benefits.
- This position is non-exempt and paid bi-weekly.
- This is a hybrid position, eligible for 40% remote capability.
