Departmental Overview
The Student Academic Services Office is the central administrative unit in the Berkeley School of Education responsible for general program information, admissions, fellowships, registration, student records and related data, course and room scheduling, graduate and undergraduate programs, credential and advanced degree counseling, and certification of public-school personnel.
The School enrolls over 400 students, and currently offers approximately 40 options in various advanced degree and credential program combinations. The School has proposed an undergraduate major, (in process) and has an active Undergraduate Minor in Education enrolling approximately 250 undergraduates.

Responsibilities
Working with a high degree of independence and in consultation with the Director of Student Services, Associate Dean, Curriculum Committee, Head Graduate Advisor (HGA), faculty, student services advisors, and school management advises on the courses to be offered each term based upon enrollment trends, faculty availability and school requirements for PhD/MA/EdD graduate degrees, the undergraduate (UG) bachelors of science degree, and the undergraduate Education minor. Assumes direct responsibility for scheduling classrooms for the UG major and related programs and serves as the backup scheduler for the UG minor and graduate programs. Scheduling includes classrooms for lectures, seminars and discussion sections each term.
Course Tracking, Analysis and Scheduling:
- Serves as an active member of the Curriculum Committee.
- In consultation with the Associate Dean/Curriculum Committee, Head Graduate Advisor (HGA) student services advisors and school management applies knowledge of PhD/MA/EdD, UG Education and major UG Education minor degree requirements and analysis of enrollment trends to identify required course offerings.
- Identifies teaching gaps and projects the departmental need for temporary academic support (faculty lecturers, Graduate Student Instructors and Readers) working with finance to develop the annual budget, academic personnel to align on lecturer contracts and student hiring to align on Graduate Student Instructor and Reader positions.
- Oversees all administrative aspects associated with class scheduling, one-time room reservation requests, enrollment management, course publicity, and teaching credit, and coordinates this information with other units as needed.
- Assumes direct responsibility for scheduling classrooms for the UG major and related programs including lectures, seminars, and discussion sections each term.
- Serves as backup scheduler for the UG minor and graduate programs.
Course Support:
- Manages the coordination of submissions of course approval requests to the Committee on Courses of Instruction (COCI) of the Academic Senate when the programs propose additions, changes, or withdrawals of courses.
- Utilizing extensive knowledge of course content, facilitates new course approval and curriculum revisions as needed and ensures the Berkeley Academic Guide course catalog is updated accordingly.
- Coordinates course textbook ordering using online submission process, orders desk copies for instructors and GSIs, documents instructions, process and protocols and helps troubleshoot problems.
- Responsible for gathering enrollment trend data, making suggestions on curriculum changes and guiding course changes through the school and campus processes.
- Takes into consideration the proper sequencing of courses for progression toward degree, courses taught in other departments, and other complicating factors.
- Makes recommendations for replacement courses.
Course Analysis and Tracking and Course Support:
- Projects future courses based on alignment of course requirements and faculty availability, taking into account sabbaticals, fellowships and grants, internal and external administrative assignments, and courses taught in other departments and/or other universities.
- Communicates with the Director of Student Services, Associate Dean, Curriculum Committee, HGA and other departments on coordination of cross-listed courses.
Course Scheduling:
- Devises solutions to classroom space and scheduling problems, considering the curriculum needs of students, the needs of faculty, and available options.
- This includes negotiating with the central Scheduling Office to meet departmental scheduling needs of general assignment classrooms and scheduling all department managed spaces.
Course Tracking:
- Advises Director of Student Services, Associate Dean, Curriculum Committee Chair, and HGA on complex curricular issues and recommends courses of action when new courses, programs are introduced.
- Utilizing extensive knowledge of course content, facilitates new course approval and curriculum revisions through interaction with the Coordination of College Policy, Academic Senate, or similar organization.
Enrollment Support:
- Provide enrollment support for students, and in particular field Undergraduate enrollment email inquiries.
- Works with Student Services team, faculty, cross-listed departments and various campus entities to resolve all student enrollment issues, ensuring maximum enrollment into classes while adhering to department and campus policies.
- Duties include dropping, swapping, and enrolling students, problem resolution and processing all concurrent enrollment applications.
- Manages all administrative aspects associated with student evaluations (of faculty, lecturers, and graduate student instructors) and coordinates this information with other units and departments as needed.
- Manages communications between Office of the Registrar and instructors ensuring instructors are apprised of key information throughout the term.
Other Responsibilities:
- Maintains and updates working knowledge of curriculum tracking, scheduling, analysis and student services advising by participating in campus organizations, networking with peers, and attending required training.
- Participates in professional training and development opportunities as appropriate.
- Other duties as assigned, to advance goals of the Student Services team and BSE as a whole.
Required Qualifications
- Ability to analyze complex issues, think strategically, and produce innovative problem-solving strategies based on sound principles and judgment.
- Thorough knowledge of or can quickly learn common University-specific computer application programs, including the Student Information Systems (SIS), Cal Central, Cal Answers, Course Evaluation System, Course Management System (CMS).
- Thorough knowledge of or can quickly learn department, campus, and University policies, procedures, and directives.
- Strong interpersonal skills to work with and gain trust from senior management, faculty, and students.
- Demonstrated customer service orientation, excellent customer service skills, and effective interpersonal and oral/written communication skills.
- Proven ability in problem identification, reasoning and analysis to identify trends and recommend solutions.
- Ability to collect, compile, and analyze statistical information and data.
- Demonstrated initiative and organizational skills to meet competing deadlines and manage multiple activities and projects.
- Ability to maintain oversight as well as accuracy and careful attention to planning and detail.
- Bachelor's degree in related area and/or equivalent experience/training.
Preferred Qualifications
- Knowledge of or ability to learn the University's organizational structure and administrative policies and procedures, such as the Academic Senate's Committee on Courses of Instruction (COCI), and the Office of the Registrar.
- Knowledge of Oracle systems, Google Suite, and Microsoft Office products.
- Knowledge of or ability to learn Berkeley's academic setting and its complex system of student services. Thorough knowledge of department, campus, and University policies, procedures, and directives or comparable knowledge.
Salary & Benefits
This is a 100% full-time (40 hrs a week) exempt career position, which is paid monthly and eligible for full UC Benefits.

Under California law, the University of California, Berkeley is required to provide a reasonable estimate of the compensation range for this role and should not offer a salary outside of the range posted in this job announcement. This range takes into account the wide range of factors that are considered in making compensation decisions including but not limited to experience, skills, knowledge, abilities, education, licensure and certifications, analysis of internal equity, and other business and organizational needs. It is not typical for an individual to be offered a salary at or near the top of the range for a position. Salary offers are determined based on final candidate qualifications and experience.
The budgeted salary or hourly range that the University reasonably expects to pay for this position is $59,100.00 - $88,435.00.
