STDT SVC ADVISOR 3 (Graduate Group Advisor)

Department Description

The Department of Computer Science is a large complex research unit, one of eight academic departments in the College of Engineering, and provides instruction and research within specialty areas of engineering. As part of a team, the Staff Advisor assists in facilitating the research areas' unique course requirements, recruitment practices, and funding strategies, ensuring programmatic goals and equity are maintained as it relates to the MS Program. The Department has 40 faculty, 3 technical IT Support staff, 11 administrative staff and administers two graduate programs: M.S. and Ph.D. with 400+ graduate students and 1700+ undergraduates. Faculty in the Graduate Group in Computer Science have appointments in departments as diverse as Engineering, School of Medicine, Graduate School of Management, Molecular and Cellular Biology, Physics, Math, Sociology and more. The Graduate Group receives funding in excess of $3M from various funding sources. Computer Science has a large service component to other programs which teaches over 11,000 students per year (over 47,000 SCH).

Job Summary

Under general supervision, as part of a three-person team, develop, manage and implement aspects of a large and complex graduate group in the Department of Computer Science, including academic advising, graduate student recruitment and retention efforts, and programmatic support and development for a large academic unit.

Responsible for providing comprehensive and complex academic advising specifically to the MS Student cohort; communicating and developing policies and procedures that ensure compliance with Graduate Studies rules, regulations, and deadlines. Also assist with advising to PhD students as needed.

As part of the Computer Science student services team, collaboratively assist in developing a team-based approach to student services and provide expertise and assistance in the graduate services and other programmatic areas. This is a critical position with independent management responsibility for graduate support services. Work is performed autonomously under the general direction of the CAO, and Graduate Group Chair.

RECRUITMENT PERIOD ONE MONTH: Applicants will be screened after two weeks; and then on a weekly basis. The position can be filled prior to the removal date.

PHYSICAL DEMANDS

Physical Demands: Sit for extended periods of time at a computer or desk.

Lifting Requirements: Lift and move boxes of materials weighing up to 25 lbs., hand carts available for use.

WORK ENVIRONMENT

Work occasional evenings and weekends.

Occasional travel may be required for outreach duties.

MINIMUM QUALIFICATIONS

Minimum Education/Experience:

Experience maintaining confidentiality of student records and applying federal and state FERPA and Information Privacy Act regulations.

Minimum Knowledge, Skills, and Abilities (KSA):

Knowledge of graduate degree requirements and advising systems to prepare official major certifications, develop student academic plans, and guide/track graduate students through academic planning.

Interpersonal, customer service and communication skills to clearly and effectively interact with individuals of varying ages and cultural backgrounds and perspectives, and to make public presentations to individuals and groups.

Analytical skills with data, policy and programs including interpreting, evaluating, projecting and problem solving a variety of issues.

Writing, editing and proofreading skills to answer correspondence, write reports and develop informational materials.

Skills to recognize and handle difficult/unpleasant situations and/or individuals; to identify problems and needs and to make competent referrals and/or to develop solutions.

Organizational skills to manage multiple priorities in a complex work environment and meet deadlines, and to work productively under pressure despite frequent interruptions.

PREFERRED QUALIFICATIONS

Preferred Education/Experience:

Experience advising and counseling graduate program students in a college/university environment.

Preferred Knowledge, Skills, and Abilities (KSA):

Analytical skills to evaluate and interpret complex policies, procedures and reference materials that apply to graduate students; to evaluate and interpret a wide variety of domestic and international college credentials.

Knowledge of BANNER, Graduate Applications Review Database (Slate/Reader), Graduate Student Location Inventory (GSI), GradHub, Internal Fellowship Nomination Manager, and other web-based tools. Knowledge of PPS/OPTRS systems.

Knowledge of department academic goals and programs, requirements, and educational options; options/specializations offered in the graduate groups; and faculty research interests.

Knowledge of general objectives and policies of the unit and campus concerning various graduate programs, and non-traditional and international constituencies.

Familiarity with academic and social problems confronting students from diverse backgrounds in college settings.
