Assistant Director of Finance and Operations
School/Unit Description: The School of Humanities and Sciences (H&S) is the center of a world-class liberal arts education at Stanford University. Anthropology is devoted to the study of human beings and human societies as they exist across time and space. It is distinct from other social sciences in that it gives central attention to the full-time span of human history, and to the full range of human societies and cultures, including those located in historically marginalized parts of the world. The Department offers a wide range of approaches to the topics and area studies within the field, including archaeology, ecology, environmental anthropology, evolution, linguistics, medical anthropology, political economy, science and technology studies, and sociocultural anthropology. The department provides students with excellent training in theory and methods to enable them to pursue graduate study in any of the above-mentioned subfields of Anthropology.
POSITION SUMMARY
Under the general supervision of the Director of Finance and Operations, the Assistant Director of Finance and Operations provides administrative and managerial support to the Department of Anthropology. The Assistant Director makes recommendations that impact policies and programs and represent the department as a key contact to external/internal stakeholders and constituencies. This position is ideal for an experienced financial and research administrator who is looking to expand their responsibilities and advance their career at Stanford to the next level.
The Assistant Director of Finance and Operations has the responsibility for finance and research administration for the Department of Anthropology. This includes managing all pre- and post-award activities and services for sponsored and non-sponsored research grants and contracts. Tasks include, but not limited to, overseeing financial activity for all department funds, reviewing monthly and quarterly expenditure statements to ensure that charging is accurate and appropriate, assisting in the development of research budgets for submission to external funding sources; ensuring proposal conformity with agency guidelines and format requirements; hiring, overseeing, and reviewing work of research staff, contingent employees and student workers; monitoring and reporting monthly and quarterly expenses; and initiating closeout.
The Assistant Director may also support the Director of Finance and Operations with department searches, appointments, and promotions committees, including search initiations, search wavers, reappointments and promotions. Duties include collect applications, provide administrative support to search and review committees, provide advice on process requirements, coordinate campus visits, and generate offers.
As a senior member of the department, the Assistant Director will also supervise, train and mentor department staff and assume the responsibility of the Director of Finance and Operations in their absence. Therefore, this position may take on additional roles, including human resources, building management, and other administrative responsibilities.

In this role, you will*:
- Perform and design ad hoc analyses of large complex data sets: reconcile complex accounts. Identify and resolve complex issues which may span multiple areas.
- Construct and assemble data for budgeting and decision making; develop conclusions, and present high-level summary of recommendations. May develop annual budget for individual department/unit.
- Conduct analysis and resolution and recognize exceptions. Participate in developing solutions that may require policy changes or the development of new processes; maintain broader organizational perspective in decision making.
- Execute internal control programs established by management, research new regulations, and recommend and implement approved changes. May manage compliance program for area of responsibility and create complex compliance reports.
- Develop reports and presentations of complex financial data and metrics for management and third parties.
- Participate as a member of a project team; support new initiatives. Make decisions determining approach to managing and completing processes.
- Contribute to unit and organization strategy; assist in the development of change management plans and materials as needed.
- Develop and maintain desktop procedures and process documentation for area of responsibility.
- Define requirements, develop, and implement complex test cases, perform system testing, and analyze results.
- Participate in critical analysis of existing systems and processes and identify opportunities for process improvement.
- Provide consulting advice to client group(s); serve as a resource on matters that require specific technical, financial, or subject matter expertise; support negotiations with external partners.
- May assist with department searches, appointments, and promotions.
- May participate in development of budgets, monitor, and approve expenditures. May perform limited forecasting and provide recommendations that determine the budget.
- May supervise, train, coach, and review the work of other staff, as needed.

QUALIFICATIONS
To be successful in this role, you will bring:
Education & Experience:
Bachelor's degree and four years of relevant experience or combination of education and relevant experience. Minimum of three years of experience working in finance and research administration is preferred.
Knowledge, Skills and Abilities:
- Advanced proficiency in business applications, such as Microsoft Office suite, especially Excel.
- Demonstrated knowledge of financial systems; internet and computer literacy.
- Knowledge of Generally Accepted Accounting Principles (GAAP).
- Excellent oral, written, and communication skills, including ability to prepare materials for and clearly and effectively communicate information to internal and external audiences and client groups.
- Demonstrated project management skills and ability to contribute to or lead part of a multi-functional team.
Preferred Knowledge, Skills and Abilities:
- Expert knowledge and fluency of governmental regulations
- Knowledge and ability to understand, interpret, and communicate university policies and procedures.
PHYSICAL REQUIREMENTS*:
- Constantly sitting.
- Frequently perform desk-based computer tasks, use telephone, writing by hand, sort/file paperwork.
- Occasionally stand/walk, lift/carry objects weighing 11-20 pounds.
- Rarely reach/work above shoulder.

WORKING CONDITIONS:

The expected pay range for this position is $86,000/$41.00 to $115,000/$55.29 per annum/hour.
