Description As a key member of the Campus Experience Team at Hobart and William Smith, the Assistant Director for Visitor Relations is dedicated to creating unparalleled and welcoming experiences for prospective students and their families. This role involves planning, coordinating, and implementing campus visits that reflect our commitment to exceptional service and access to high-quality education.
The Assistant Director will engage daily with campus visitors, ensuring each interaction is personalized and memorable. Responsibilities include training and overseeing student workers, coordinating admissions staff for daily visits, and fulfilling special requests to ensure every visitor feels valued, delighted, inspired, and connected to our relationship-rich community.
Essential Responsibilities:
Coordination of daily HWS Campus Visits, including tours, info sessions, interviews, and other requests
Organize the Admissions Staff and make sure they are aware of all their duties related to daily visits
During busy seasons, host a daily meeting to prepare for visitor traffic and delegate responsibilities
Create a seasonal information session schedule for the counselors
Craft a weekly schedule summarizing who is in the office and available
Maintain a visit log and provide regular reports of numbers and types of visits
Maintain admissions building appearance, inventory of necessary admissions supplies/materials and provide weekly inventory updates
Complete a variety of daily administrative tasks including creating a welcome sign, name tags and a summary of visitors for the next day
Hire, manage and train student workers
Ensure that student workers greet daily guests and distribute appropriate materials with a commitment to strong customer service
Determine office needs for scheduling and collaborate with lead student workers to ensure that the schedule is complete and equitable
Organize trainings for all student workers at least once a semester to ensure that the student workers are up to date with changes and have the resources necessary to succeed in this position
Meet with the lead student workers on a weekly basis and delegate tasks to them
Manage the student worker payroll
Observe tours and conduct regular, random quality control checks
Ensure student workers are accurately inputting and coding data into Slate
Co-lead creation and execution of personalized prospective student visits. This includes organizing customized schedules and staffing visit needs
Collaborate with the Campus Events Coordinator to ensure cohesive campus experiences
Other:
Conduct information sessions, interviews, and review applications as needed
Develop knowledge of campus offices, the Geneva area, and the greater Finger Lakes Region
Demonstrate an awareness of and sensitivity to unique social, cultural, and economic circumstances
Demonstrate knowledge for the Colleges' educational philosophy and mission
Performs other related duties as required
Other Information:
This is a full-time, 12-month, benefits-eligible position. This position description is not all-inclusive as other tasks or responsibilities may be assigned. Work hours are 8:30 a.m. to 5 p.m. during the academic year, with a possible shortened workweek during the scheduled summer hours' time period. Annual salary is $63,425.
Qualifications Bachelor's degree
College admission recruitment, customer experience or event planning experience
preferred.
The ideal candidate will be highly organized and able to work under a certain degree of
pressure and time constraints.
Excellent written and oral communication skills as well as strong customer service
orientation.
Proficient with spreadsheet and presentation software, preferable Microsoft Word,
Excel, and PowerPoint.
Must be able to work with sensitive information and maintain confidentiality.
Ability and willingness to work flexible hours, including some weekends and evenings, as
office needs dictate.
Strong communication skills and willing to take initiative.
Highly reliable, flexible, and adaptable.
Valid driver's license and ability to lift 30 pounds.
The ability to develop knowledge of, respect for, and skills to engage with those of other
cultures or backgrounds is required.
